1. WHO WE ARE
Volution is the trading name used by Angela Gail James, a sole proprietor operating through angelagailjames.com. In this notice, “Volution”, “we” and “us” refer to Angela Gail James trading as Volution. We are responsible for deciding why and how personal information is processed in connection with our own websites, funnels, communications and services, subject to the roles of our technology providers.
Contact: [email protected]
Business correspondence address: 26 Bevan Road, Edenburg, Sandton, 2191, South Africa [confirm current details before publication].
This notice applies to Volution websites, landing pages, funnels, learning portals, programmes, resources and related communications. A particular experience may provide additional privacy information where its technology or activities differ.
2. OUR COMMITMENT
We aim to provide a respectful environment for learning, reflection and participation. We collect information for clear purposes, limit access to those who need it, and distinguish personal learning reflections from feedback or contributions that participants choose to share.
3. INFORMATION WE MAY PROCESS
Depending on how you interact with Volution, this may include:
• Contact and enquiry information, such as name, email address, telephone number and the contents of messages you send.
• Account information, such as registration details, authentication identifiers and account preferences.
• Participation information, such as programme enrolment, progress, completion and support requests, where the platform records these.
• Private reflections and journal entries, subject to the particular learning platform's storage arrangements and access controls.
• Feedback, testimonials or community contributions that you voluntarily submit, subject to the permissions explained at collection.
• Transaction records, such as purchases, invoices, billing details and payment status. Payment-card details may be handled by external payment processors rather than Volution.
• Technical and usage information, such as device/browser information, IP address, security logs, cookies and local browser storage, where used.
• Marketing preferences and any consent you give to receive promotional communications.
Some voluntary reflections or enquiries may contain sensitive personal information. Please share only what you are comfortable providing. Where sensitive information is processed, we will apply the safeguards and lawful conditions required by POPIA.
4. WHY WE USE PERSONAL INFORMATION
We process information, where relevant, to:
• Respond to enquiries and provide requested information.
• Register accounts, authenticate access and deliver learning experiences or other services.
• Support participants, administer programmes and preserve progress where supported.
• Process purchases, payments, refunds and records.
• Protect our systems, prevent misuse and investigate technical problems.
• Meet applicable legal, tax, accounting and record-keeping obligations.
• Improve our services through appropriate operational information and, where enabled, analytics.
• Send promotional messages only where permitted by applicable law, with an appropriate opportunity to opt out.
Under POPIA, processing must have a lawful justification. Depending on the circumstances, this may include consent, steps needed for an agreement, compliance with a legal obligation, or a legitimate interest permitted by law. We do not treat a general interest in growing the business as automatic permission to send electronic direct marketing.
5. PRIVATE LEARNING SPACES AND REFLECTIONS
Participants retain their rights in their own original reflections and journal entries. Private reflections are not published, sold or used for marketing. They are separate from feedback or contributions deliberately submitted for sharing.
The Volution Portal currently uses essential cookies and local browser storage to support sign-in and preserve private reflections locally on the participant's device, as described by the platform provider. Local storage can be affected by browser settings, device changes, clearing browsing data or device loss. The precise arrangements for account synchronisation, recovery, deletion and authorised technical access must be verified before any cross-device or permanent-preservation promise is made.
Other learning experiences may use different storage arrangements, which will be explained where relevant. Authorised technical personnel may need limited access to stored information to maintain, secure or support a platform, subject to appropriate confidentiality and security measures.
6. COMMUNICATIONS AND MARKETING
Messages needed to administer an account, respond to an enquiry or deliver a requested service are distinct from marketing.
We will not automatically add learning participants to promotional email campaigns merely because they register. Where electronic direct marketing is used, we will follow POPIA's requirements, including obtaining consent where required and providing a straightforward opt-out. Unsubscribing from marketing does not prevent necessary service communications.
7. COOKIES AND BROWSER STORAGE
Different Volution websites and funnels may use different technologies. The Volution Portal provider states that the Portal uses strictly necessary cookies and local browser storage and does not use third-party advertising or cross-site tracking cookies. This statement does not automatically describe the technologies used on other Volution websites or third-party funnels.
Please see our Cookie Policy for further information. Optional analytics or marketing technologies, where present, must be accurately disclosed and appropriately controlled.
8. WHO MAY RECEIVE INFORMATION
Information may be processed by carefully selected providers that support hosting, website and funnel management, account authentication, email delivery, payment processing, technical support and other operational functions. Professional advisers and public authorities may receive information where lawfully necessary.
We do not sell private reflections or use them for advertising. We require service providers handling personal information on our behalf to follow appropriate confidentiality, security and processing instructions.
9. INFORMATION PROCESSED OUTSIDE SOUTH AFRICA
Some technology providers may host or process information outside South Africa. Where personal information is transferred internationally, we will assess and use a basis permitted under section 72 of POPIA, together with appropriate contractual or other safeguards where required. The locations and arrangements of the actual providers should be confirmed before publication.
10. SECURITY
We use reasonable technical and organisational safeguards appropriate to the information and services involved. No online service can promise absolute security. Access is restricted according to operational need, and suspected security compromises will be assessed and notified where POPIA requires.
11. HOW LONG WE KEEP INFORMATION
We retain information only for as long as needed for the purposes described, applicable legal obligations, dispute resolution and legitimate record-keeping. Different categories of information may have different retention periods.
Browser-local reflections may remain on a device until removed by the participant or the browser. Account information, support records, purchase records and backups may follow different schedules. Specific retention and account-deletion processes require confirmation with the relevant platform providers.
Unsubscribing and Removal of Personal Information
Participants and subscribers may unsubscribe from Volution's marketing communications at any time using the unsubscribe link provided in our emails.
Individuals may also request the deletion of their personal information, including their learning account and associated records, by contacting Volution.
Volution will honour these requests in accordance with applicable privacy legislation, retaining only information required for legal, regulatory or legitimate administrative purposes.
To request access to, correction of, or removal of your personal information, please contact [email protected] or use the contact page on our website.
12. YOUR RIGHTS
Subject to POPIA and applicable exceptions, you may request information about the personal information we hold, access it, request correction or deletion where appropriate, object to certain processing, and withdraw consent where consent is the basis for processing. All forms provide opt in for information related to marketing, products and services as well as the option to unsubscribe at any time. Removal of personal contact profiles is implemented on unsubscribes.
To make a request, contact [email protected]. We may need to verify your identity before disclosing or changing personal information. Requests will be handled within the timeframes required by applicable law.
You may also raise a complaint with South Africa's Information Regulator. We welcome the opportunity to address a concern directly first, but this does not limit your right to contact the regulator.
13. LEARNER RIGHTS - LEARNING, REFLECTIONS AND PRIVACY
At Volution, we recognise that meaningful learning often involves personal reflection, self-discovery and the exploration of experiences, beliefs and choices. We are committed to providing a respectful, confidential and secure environment in which participants can engage with their learning.
All Volution digital learning experiences are hosted through our Lovable-based learning portals. Personal reflections, journal entries, workbook responses and completed learning activities are treated as private participant information.
Your personal learning content belongs to you. It is created for your own learning, reflection and development. It is not made available to other participants or visitors, published, sold, shared for promotional purposes or used to generate marketing communications.
Access to personal learning information is restricted through the platform's privacy and security arrangements. Authorised technical personnel may access stored information only where necessary to maintain, secure, troubleshoot or support the platform, subject to appropriate safeguards and confidentiality requirements.
Information that participants deliberately choose to submit as feedback, testimonials or contributions is treated separately from their private learning records. Any proposed public use of identifiable feedback or testimonials will be subject to the participant's appropriate permission.
Volution respects each participant's agency, dignity and right to privacy. Our learning environments are designed to support personal exploration and growth, with the understanding that what you choose to reflect upon privately remains part of your personal learning experience.
14. CHILDREN AND OTHER VULNERABLE PARTICIPANTS
Volution is committed to respecting the rights, dignity, privacy and wellbeing of children, young people and vulnerable participants.
Our learning materials are developed with care and sensitivity, recognising the importance of age-appropriate participation, emotional safety and responsible citizenship.
Where children participate in Volution learning experiences, we respect their right to privacy and apply appropriate safeguards to their personal information, including parental or guardian consent where required by applicable law.
Personal reflections, journal entries and workbook responses are treated with the same commitment to confidentiality, respect and protection that applies to all participants.
